Your Child's Privacy at ChessCubs

What we collect

To provide chess instruction, ChessCubs may collect and maintain:

• your child's parent-approved display name and age group
• ChessCubs username and account information
• assigned coach, batch and curriculum level
• class schedule and attendance
• lessons, puzzles and homework activity
• chess games and learning progress
• coach feedback and progress reports
• essential account-security and technical information

ChessCubs does not require your child to provide a personal email address, phone number, home address, school name or public profile.

Why we use it

We use this information to:

• provide and personalize chess instruction
• assign lessons and homework
• track learning progress
• show progress to you and your child
• help assigned coaches prepare and teach
• operate, secure and improve the ChessCubs platform
• provide customer support and protect users

Who can access it

Your child's information is available only to:

• you and other verified guardians linked to your child
• your child
• assigned ChessCubs coaches
• authorized ChessCubs staff who need access for instruction, support, safety or platform operation
• approved service providers that process information on behalf of ChessCubs under appropriate restrictions

What we do not do

ChessCubs does not:

• sell children's personal information
• create public child profiles
• allow children to search for or privately message strangers
• display behaviorally targeted advertising in the Student area
• use children's information for unrelated advertising
• use class or child data to train public AI models
• publish a child's name, image, testimonial or achievement without separate parental permission

Class recordings

Classes in the ChessCubs classroom are recorded in full — everyone's camera and microphone, including your child's. We changed this deliberately, and we would rather explain why than bury it.

The reason is your child's safety. A coach is an adult alone online with children. In a physical club you would not leave one adult unobserved with a child, and recording is how that same protection works online. It protects children, and it protects coaches from anything being claimed about them unfairly. It is the reason the recording exists, and the reason it now includes cameras rather than only voices.

Who can see one. Only the founder, and every time a recording is opened it is logged. Recordings are not shown to other parents, not shown to coaches, never published, never shared, and never used in advertising. Reviewing how classes are taught is a second use that rides along; it is not what the recording is for.

Recordings are deleted after 30 days, automatically. The only exception is a recording flagged for review, which is kept until that review is finished.

Because this protects your child, it is part of enrolling rather than an optional setting — you agree to it when you enrol, and for a trial class on the booking form. If you are not comfortable with it, tell us before the class rather than after, and we will talk it through.

Sharing your child's work

We do not publish your child's game, words, photo or result unless you have specifically allowed it. That permission is separate from the one that opens their account, and it is not part of our Terms — agreeing to use ChessCubs never gives us the right to publish anything about your child.

You give and remove it yourself, one use at a time, under Child Privacy & Permissions on your child's page in your parent dashboard. Allowing us to show a game they played does not allow us to show a photograph of them; those are separate switches, and every one of them starts off.

The same screen lists anything of your child's that is currently published, and where. If you turn a permission off, we stop using it immediately and take down what is already out there — on other companies' platforms that is a person doing it by hand, so it can take a few days.

Parent rights

You may:

• review information associated with your child
• request correction of inaccurate information
• withdraw consent for future collection and use
• request deletion of eligible child information
• ask questions about ChessCubs' privacy practices

Some information may need to be retained for legal, security, fraud-prevention, transaction or recordkeeping purposes. ChessCubs will explain what can be deleted, de-identified or must be retained.

How long we keep your child's information

We keep a child's information only for as long as it is needed to provide their lessons and track their progress, and no longer.

If an account goes unused for 24 months, we delete it — the child's profile and the learning records attached to it. We will email the parent before we do, so nothing disappears without warning. You do not have to wait for that: you can ask us to delete your child's account at any time and we will action it.

A small number of records must be kept for longer because the law requires it — records of your consent, and financial and tax records. Where we keep such a record, we remove your child's identity from it wherever we reasonably can, so what remains is a transaction, not a child.
